The Executive Assistant is a part of a pool of executive service team that provides administrative support to senior level managers such as Area Directors (Chapter lead) in a one-on-one working relationship, contributing creatively and effectively within an entrepreneurial environment that is outcomes-driven and community oriented.

Performs as the primary point of contact for internal and external organizations on all matters regarding the Chapters/Directors (2 or 3) assigned. As well as a liaison to the board of directors and senior management teams.

The Opportunity

• Provide administrative support and perform general office management duties necessary in the efficient operation of an office or program. Responsibilities require significant collaboration and coordination with others.

• Set up, organize and plan events, both internal and off-site.

• Provide a bridge for smooth communication between the Chapter Lead/Director and the internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.

• Develop and recommend administrative processes/procedures to assure efficiency in general office operations. Interpret and communicate operating policies.

• Provide guidance and advice on administrative tasks, promoting the autonomy and self-management of all the affiliates colleagues.

Who You Are

• You have a valid ID and a Degree in Executive Assistance, Business Administration, Business services, Administrative support or a related field.

• At least 5 years of proven experience as an Executive Assistant or in a similar role supporting senior executives or directors. Experience as an Executive Assistant in a Pharmaceutical company desirable.

• Fluent in English and Spanish with advanced comprehensive written and oral skills.

• Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.

• You Possess high customer service skills. Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners.

• Highly resourceful team-player, with the ability to also be extremely effective independently.

• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
