Job Title: Executive Assistant to the Managing Director
Location: Valle Dorado, Mexico
Reports To: Managing Director, Logistics and Transportation Firm (TUMSA)
Salary Range: $20,000 to $25,000 MXN per month, plus statutory benefits
Provide comprehensive and high-level support to the Managing Director of TUMSA, a leading logistics and transportation company, ensuring seamless management of professional and personal activities with a focus on efficiency, quality, confidentiality, and professionalism.
Key Responsibilities
Scheduling: Organize, coordinate, and prioritize appointments, meetings, and events for the Managing Director.
Documentation: Draft, review, and prepare correspondence, reports, and presentations.
Client Interaction: Act as the primary liaison for clients and stakeholders, ensuring professional and courteous communication.
Meeting Coordination: Manage all aspects of meeting logistics, including invitations, agendas, minutes, and follow-up actions.
Travel Management: Plan and manage domestic and international travel arrangements, including bookings and documentation. Travel may include trips to the United States and Guatemala.
File Management: Organize and maintain physical and digital files for both professional and personal records.
Expense Management: Track and process expenses, budgets, and invoices efficiently.
Cross-Department Coordination: Serve as the key communication link between the Managing Director and other teams.
Personal Scheduling: Manage personal appointments, family-related events, and medical visits.
Home Logistics: Oversee coordination with vendors and service providers for personal matters.
Confidentiality: Safeguard all personal and professional information with utmost discretion.
Bachelor’s degree in International Relations, Business Administration, or a related field (preferred).
At least 5 years of experience in a similar role, preferably in high-level corporate or logistics environments.
Advanced proficiency in SAP for generating reports and presentations.
Expertise in Power BI and Microsoft Office Suite.
Familiarity with travel planning tools and CRM platforms.
Native Spanish speaker with advanced English proficiency.
Valid passport and U.S. visa.
Organization: Skilled in managing multiple priorities and tasks simultaneously.
Discretion: Strong ethical standards and confidentiality.
Communication: Excellent verbal and written communication skills.
Proactivity: Anticipates needs and takes initiative independently.
Problem-Solving: Effective and resourceful in addressing challenges.
Schedule: Monday to Friday, with flexibility to handle urgent matters outside regular hours.
